Deciding how to run each business meeting you hold or leaving it up to department heads to manage each meeting can lead to disorganization and a waste of time. Create a template anyone can use to organize a meeting agenda, your business will operate more efficiently and you will get more done at meetings. A helpful first step in creating a meeting agenda template is to determine what type of meeting format you want to use. If its for simple, weekly department meetings, you might limit the structure to designating the order of the presenters. If its a more formal meeting of investors or the executive team, you might use a structured format that includes an official start to the meeting, includes some pre-discussion housekeeping, orders the presentation of information and then includes a wrap-up procedure.
Before you begin, we encourage you to carefully consider what the goals of the meeting should be. What should the discussion revolve around? Which actions are of the highest priority? Answering these questions will help you more quickly arrange your agenda for maximum productivity. Maybe you will use your agenda to go over your fundraising summary from last quarter, or maybe you will discuss the next company press release, a new case study or a revamp to the company media kit. Use the text toolbar to organize information by varying font size, color, or text styles. Dont forget that you can insert tables, images, links and videos to reference during the meeting. This section should reflect the letterhead of your companys documents. Replace the placeholder with your companys logo. You can leave the title as Meeting Agenda or be more descriptive with a title like Kick-Off Meeting for Project X. Then, set the day, month, and year that the meeting will take place. Dont forget to change the background section color to match your companys branding too!
Leave space for details on the template, such as presenters names, the time of each presentation and breaks. Your agenda should allow the meeting organizer to create a timetable that keeps the meeting on track. For example, the agenda might start with Call to Order and roll call, 9:00, followed by Introductions, 9:05, all the way through to the finish of the meeting. This informs attendees how much time they have to make their presentations, when they are able to break for calls or emails and when the meeting adjourns.
