Everyone should be taking notes during the meeting (or at least recording pertinent information that applies to him/her). If there is a dedicated notetaker or secretary in charge of the minutes, this person should be taking detailed notes of everything discussed during the meeting. These notes will serve as a reference in case any questions arise after the meeting. Dont forget that there are many different types of meeting structures. Some startups and companies employ a daily stand-up meeting (also known as a daily scrum) where the whole team meets every day for a quick status update. These meetings require standing up to ensure that the meeting is short. Remember, this document is flexible and can adapt to your needs. You are not bound to the templates current structure. Continue to tweak and optimize your meeting structures and agenda template until you find the right fit by rearranging or adding elements. Whatever your use case, just make sure its organized, easy-to-follow, and keeps you on track!
Start your agenda template with a heading that leaves space for the date, location and time of the meeting, as well as a line for the purpose of the meeting if you are creating a template you will use for different types of meetings. If the template is for only one type of meeting, such as a monthly meeting of department heads or quarterly meeting of executive management, put the meeting name at the top. Next, list the main meeting agenda categories. Consider headings such as Call to Order, Purpose of Meeting, Presentations and Meeting Close. Designate who will present each section.
Deciding how to run each business meeting you hold or leaving it up to department heads to manage each meeting can lead to disorganization and a waste of time. Create a template anyone can use to organize a meeting agenda, your business will operate more efficiently and you will get more done at meetings. A helpful first step in creating a meeting agenda template is to determine what type of meeting format you want to use. If its for simple, weekly department meetings, you might limit the structure to designating the order of the presenters. If its a more formal meeting of investors or the executive team, you might use a structured format that includes an official start to the meeting, includes some pre-discussion housekeeping, orders the presentation of information and then includes a wrap-up procedure.
